Host Requirements

Be a nonprofit organization/NGO or an accredited educational institution
Be actively involved in cancer education
Submit a Letter of Interest signed by the President/CEO/Chairman of the host organization
Commit to $50,000 in financial support for the conference (through a direct gift, recruitment of sponsorship funding, or a combination of both)
Commit to providing volunteers to help with executive planning, speaker recruitment, participant outreach, sponsorship recruitment, and promotion and marketing
Propose a conference venue meeting the logistical and financial needs of ICEC
Be in a location that is safe and appealing

Venue Requirements

Hotel guest room block for approximately 490 total room nights (150 on peak)
Affordable hotel guest room rate of $150-$200 USD
Varying sizes of meeting space, including:
- A large plenary room holding 250-300 people in rounds of 10 (plus stage and audio-visual setup)
- At least 3 additional rooms for concurrent sessions holding 75+ people in theater seating
- An exhibit hall space that can accommodate 75 posters, 20 exhibitors, breakfasts, and coffee breaks (6,000+ square feet)
- Smaller auxiliary rooms for board meetings, ICEC staff office, quiet room/lactation room/prayer room, etc.
Affordable food and beverage costs
Affordable audio-visual costs (1 laptop, projector, and screen per room plus adequate microphones for speakers and audience questions, and internet access throughout the conference)

Decision Timeline

30 June 2024: Deadline for submission of expression of interest by host organizations
31 August 2024: AACE and CPEN notify interested parties if they can make presentations/submit full proposals
Sept-Oct 2024: AACE and CPEN hear one-hour presentations by representatives of prospective host organizations (likely by Zoom)
Nov-Dec 2024: ICEC management inspection of venue, meetings with host organizations and potential local sponsors
Jan 2025: AACE and CPEN final selection of host organization
Feb-April 2025: ICEC management contract negotiations and signing
May 2025: Announcement of selection of hosts for 2026 ICEC
